You asked and we listened!
We had many requests for weekly IVMRs to be sent automatically, and to be produced either in the default FAST format, or on the FedEx form that some stations prefer,
If you enable ‘Auto Send’ you will be asked to provide a list of email contacts that completed reports will be sent to. We know that occasionally issues occur with ELD devices so we also ask for internal company contacts that should be notified if there is an issue with a report.
To adjust either of these settings, please have a user with AO level access navigate to the Company Settings menu.
When the system does not find any issues on the tractor it will automatically approve the records, create the PDFs, attach them and send them off as though they were coming from the first address listed for the IVMR Exception Report. This way your IVMR administrator can reply back directly to your inbox if they need additional information.
If the automated process detects an issue, it will send an alert to everyone listed in the IVMR Exceptions Report. When you navigate to the IVMR page you will want to look for any Exclamation Point ! icons to investigate and correct the issue. After corrections are made, a check mark icon will replace the exclamation mark. Selecting the check mark will approve the records and convert them to the PDF format
If you make changes again you will need to use that yellow x button to remove the PDF and recreate it after making the changes. And similarly if you had already created the archive for the week then went back and made changes you will need to click the create archive button again to make sure it includes the newest changes. The archive is a single ZIP file with all your PDF’s that we recommend downloading each week to keep on file in permanent storage.
Once any exceptions have been cleared, you can send them individually by selecting the ‘Send Selected’ button. If you end up not enabling auto send this is still where you will come in each week and send them off.
